The International Centre for Migration Policy Development (ICMPD), an international organisation with its headquarters in Vienna, Austria and a project office in Skopje, Macedonia is looking for qualified candidates to fill the above-mentioned position.
The selected Project Assistant will be working within the ICMPD Anti-Trafficking Programme under the supervision of the Project Manager. She/he will be responsible to support the implementation of the project ‘’Study on Trafficking Resilience and Vulnerability en route to Europe (STRIVE)’’ and for carrying out other administrative and logistical tasks related to the project office in Skopje.
The STRIVE project is 18-month research project focusing on trafficking in persons along the migrant and refugee routes to the EU during the period 2015-2017 inclusive, as well as assessing vulnerabilities to trafficking and factors of resilience to trafficking among asylum applicants and migrants en route to Europe. The geographical scope of the research is Bulgaria, Greece, Hungary, Macedonia and Serbia, the main transit countries and countries of first arrival in the EU along the Western Balkan route, with field research also conducted in Germany, the most important country of destination, and Italy, the country of first arrival in the EU along the Central Mediterranean Route.
The project will be implemented by a multi-country team consisting of: a. Project Manager and Project Assistant based in Skopje; b. Research Coordinator and Research Assistant based in Vienna; and c. 7 Country Researchers based in Bulgaria, Germany, Greece, Hungary, Italy, Macedonia and Serbia.
Duties and Responsibilities
Under the direct supervision of the Project Manager, and in close cooperation with the Research Coordinator and other team members, the incumbent will be responsible for the following tasks:
- Assists in the planning and organisation of day-to-day project activities according to the project work plan.
- Undertakes administrative arrangements for meetings, workshops and expert missions by coordinating transportation, accommodation, conference room reservations, audio-visual equipment and maintaining contacts with participants on logistical issues as required.
- Works with the SAP Business One software system (initial training will be provided by ICMPD), and liaises with internal operations support and finance departments.
- Prepares invitations and receives registrations, prepares substantive background documents for project events (meeting folders, speeches, presentations, etc.).
- Assists in project staff and expert recruitment processes; prepare vacancy notices, coordinate with HR and follow up.
- Organises the work of experts, administers time sheets.
- Administers expert and procurement contracts by verifying the quality of inputs and initiating payments according to agreed payment schedules.
- Supports the organisation of missions of the Project Team, as well as backstopping during missions.
- Supports with regular and active liaison with national and international stakeholders in the beneficiary countries, such as drafting routine correspondence, Notes Verbale, invitation letters, etc.
- May undertake duty travel for project implementation purposes.
- Provides translation services as requested.
- Assists the Project Team (collects inputs, compiles, edits) with meeting reports, project reports/final reports to partner and donor;
- Performs any other duties as required.
Essential Qualifications
Education:
- University degree in international relations, law, development studies, public administration, economics, social or political science, or related field.
Experience:
- A minimum of three years’ work experience in project management at the national or international level.
- Previous experience in administrative and logistical support within an international organisation is an asset.
- Proven work experience in the field of migration and/or trafficking in persons at international level is an asset.
Knowledge, skills, abilities:
- Excellent oral and written command of English is required.
- Ability to read and understand any of the languages spoken in the countries under study of the STRIVE project is considered an asset.
- General knowledge and understanding of migration and trafficking in human beings issues and principles is required.
- Working knowledge of SAP Business One software system is considered an asset.
- Computer proficiency (especially Microsoft Word, Excel and PowerPoint).
- Very good organisational and communication skills.
- Ability to pay attention to detail and meet tight deadlines.
- Ability to work as part of a multicultural team.
